Certification of Awards

Before completed Youth Achievement Awards can be presented for certification they must go through a formal process of quality assurance.

The Quality Assurance Process

Although self and peer assessment is an ongoing and integral part of the award process, completed awards must be formally quality assured. This is a requirement of UK Youth who own the Award and the Scottish Qualifications Authority (SQA) who externally quality assure and certificate the awards. It is also a condition of the Scottish Credit and Qualifications Framework (SCQF) credit rating and levelling.

There are three stages in the formal quality assurance process
1. Assessment by the Award Group Worker
2. Assessment by a qualified Agency Assessor on behalf of the Operating Agency
3. Standardisation at a national level by a panel of practitioners and Internal Verification

How to present Youth Achievement Awards for Certification

Award Group Workers wishing to present completed Awards for certification should contact their Agency Assessor and advise them of progress. If you have a specific timeline you are working to please allow sufficient time for stages 1 and 2 of the quality assurance process to be carried out and all necessary paperwork to be returned to Youth Scotland before any deadline. Please see below for the 2018 schedule of meetings and submission deadlines to assist with your forward planning.

Young people (Candidates) need to be registered with the Scottish Qualifications Authority (SQA) for the qualification and their work presented at an Internal Verification Meeting for stage 3 of the quality assurance process.

Registering Candidates

When Awards have successfully gone through the first two stages of the quality assurance process the Operating Agency Key Contact (or a person authorised by them) must email a completed Candidate Registration Form (link to CRF) to Youth Scotland listing all Candidates a Participating Unit is presenting for certification. This is to allow Youth Scotland to register Candidates with SQA for the qualification.

Please note that we cannot accept postal or faxed Candidate Registration Forms as these are required in electronic format to allow Youth Scotland to upload the details electronically into the SQA system.

Candidate Registration Forms must be received by Youth Scotland on or before the stated deadline. You will receive an email confirming receipt within one working day. The deadlines for the return of Candidate Registration Forms are set to accommodate SQA requirements and have no flexibility.

Please note it is not possible to add or remove a candidate from a Candidate Registration Form after the submission deadline.

Presenting Candidates’ Awards

A representative of the Operating Agency must book a place at the Standardisation and Internal Verification Meeting and attend to present Awards on behalf of all candidates listed on the Candidate Registration Form*

*Youth Scotland may contact an Operating Agency after the submission deadline and request a sample (if this is appropriate) and the sample as requested must be presented.

As places at Standardisation and Internal Verification Meetings are limited, Operating Agencies are restricted to a maximum of 3 representatives per meeting. Coordination of Bookings is the responsibility of the Operating Agency Key Contact and all Bookings must be authorised by them.

Places are booked through an external booking system Eventbite and must be must be booked in advance of the stated deadlines. Attendees will receive an automatic email confirmation of their booking from Eventbrite and additional event information. If you have any difficulties when booking please contact the Awards team immediately. We are unable to allow admission to this event without places having been booked in advance of the deadline.
